Our client is a well-established, financial services company in downtown Boston! They are looking for a professional, polished and energetic administrative assistant/office manager to join their team. This person will support the senior management team in calendar management, travel arrangements and expenses while managing the overall office needs and coordinating all company events.
Organizes and schedules executives’ appointments and meetings while also informing concerned parties
Prepares material for the executives’ meetings in a timely manner in conjunction with the executives’ daily calendar
Manage the executives’ calendar by updating, tracking, preparing, and notifying them of meetings, etc.
Make arrangements per the travel agenda and coordinate other tasks as required
Prepares material for meetings and travel itineraries prior to departure
Order supplies and manage inventory
Plan and execute all company events (quarterly and holiday parties, celebratory outings, etc.)
Experience supporting one person or a team at the executive level
Must have 2-4 years of relevant experience in a fast-paced environment
Heavy scheduling experience, calendar management and travel planning
Highly organized, detail-oriented self-starter who can handle multiple tasks and demands simultaneously
