Hollister Staffing & The Hollister Institute are looking for an exceptional Administrative Assistant (AA), or as we view it an “Authority in Action”! We are looking for someone to keep our organization and vision pumping and to be an integral part of our team. Supporting both our Marketing Team and The Hollister Institute, this role will play a vital part in sustaining and enhancing our success as a company now in its 30th year.

Some of What You’ll Do:

  • Social Media content creation, curation, and analytics: write posts, design newsletters, manage job postings on social media channels, maintain all aspects of Constant Contact
  • Organize all aspects of Hollister Institute events and trainings including: creating SOPs and slide decks for each event, tracking registrations, complete event set-up and break down including ordering/set-up of food, security system coordination, printing materials, dissemination and compilation of event efficacy surveys
  • Provide organized and flexible administrative support to Executive Director of Hollister Institute
  • Responsible for calendar management of both HI events calendar and internal networking calendar for both Massachusetts and Pennsylvania
  • Draft/create correspondence including emails, letters, memos, and personalized cards
  • Responsible for billing, invoicing/payment processing for all Hollister Institute events
  • Accompany Executive Director and/or members of our Marketing Team to various professional events
  • Manage college job boards including application forwarding and tracking of candidates
  • Maintain all internal memberships including tracking and renewals

  • Consistent communicator, dependable follow up and thorough planner
  • Demonstrated excellence on social media platforms and analytics (LinkedIn, Facebook, Instagram, Twitter)
  • Impeccable communication skills in written, verbal and electronic format
  • Ability to handle fast-moving situations
  • Passionate about mindfulness, communication, building relationships and helping others
  • Proven understanding and interest in how to optimize social media reach and engagement
  • Unquestionable personal code of confidentiality, ethics, integrity, diversity and trust
  • Proven mastery of various software applications including Hootsuite, Constant Contact, Outlook, Word, Excel, PowerPoint, assorted iPhone apps and ability to learn new apps/programs and resolve technical issues
  • Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through to successful completion, often with deadline pressure
  • Demonstrated ability to work independently as well as part of a team
