Answer general calls daily; light phone coverage for Senior HR Manager and CIO; back-up for phone coverage for CFO and CAO if their EA is away from her desk.
Assist in greeting guests and ensure they are properly announced
Coordinate office repairs and maintenance with building by putting in a work order.
Assist with travel and expenses for the Senior HR Manager, CIO, and MIS Team.
Organize, box, and ship, financial files.
Assist with weekly Sysco orders.
Stocking 10th floor kitchen and coffee areas daily, and ensuring cleanliness
Assist with financial reporting and projects as needed.
Meet and greet guests and seat in appropriate conference rooms
Conference Rooms – maintain and assist with meeting preparations as directed
Stocking and maintaining supplies on all floors and in all copy rooms, conference rooms and auxiliary
Delivery of packages from UPS, FedEx and couriers
Assist with other office and administrative duties as assigned
1+ years of experience in a professional environment is preferred.
Ability to handle multiple priorities in a fast-paced environment
Strong communication and customer service skills
Commitment to professional manner and adherence to strict rules of confidentiality
Excellent organizational and interpersonal skills and proficiency in MS Office Suite
Strong attention to detail and accuracy
Ability to prioritize and work independently as well as be a team player
Regular, reliable attendance and punctuality. Flexibility to come in early or stay late on short notice, as needed
