A leading Global Venture philanthropy firm in Boston, MA is looking for a dedicated and reliable Executive Assistant to support two Managing Directors at their office. They seek someone who cares about the Foundation’s mission and fits our supportive, hardworking culture. The right fit for this role will be someone who is highly organized with high integrity, initiative, and accountability.

Manage calendars and schedules (heavy scheduling), coordinate logistics and prepare materials for all meetings.
Manage changes in schedules and priorities adeptly and quickly.
Make travel arrangements, including transportation, hotel, visas and coordination of all travel logistics.
Welcome visitors to our office and screen occasional phone calls to our office.
Coordinate twice weekly lunch order for team and order and set up food and other materials for occasional meetings with external visitors.
Assisting with company events and activities, including preparation of the annual retreat and the board chair/CEO convening.
Prepare MD expense reports in a timely manner.
Update Salesforce to keep MD contacts, board materials and other information current.
Proactively manage light clerical duties, including faxing, copying and scanning documents, mailing materials, ordering supplies, stocking the kitchen, keeping the office clean and in working order.
7+ years professional experience in a fast-paced administrative support role supporting multiple executives.
A reputation with previous employers for outstanding performance and initiative and a high level of integrity and ethical and moral standards.
Strong organizational and problem-solving skills and highly detail-oriented. •
Intermediate to advanced Microsoft Office, Google and Salesforce skills
Strong command of English grammar and syntax
Excellent and clear communication skills, both written and oral
Ability to work independently while at the same time working effectively in a collaborative structure with personnel throughout every level of the organization.
Ability to multi-task and prioritize projects independently and complete assignments on time and with accuracy.
Thrive in a fast-paced, deadline-oriented environment, with the ability to multi-task and manage details
Strong work ethic and desire to learn and grow.
Desire to work in a small, collegial office and to be flexible in meeting office needs.
