A thriving Philanthropic Association in Boston, MA is looking for an upbeat Administrative Specialist to join their organization in being the first point of contact for customers. The ideal Assistant will be someone who is bright, energetic, and has exceptional customer service skills.

Greet and assist visitors, determine their needs, and direct them to the appropriate staff
Answer incoming calls, provide information to callers, connect them to appropriate staff
Ensure the office looks professional and welcoming, especially the reception area and other shared spaces, including the supply closets and storage space
Coordinate Welsh on-site visits every two weeks
Act as a resource to staff on technology issues including support for office equipment: printers, fax, telephones, computers
Maintain an inventory of office supplies including on-boarding materials, stationary, etc.
Prepare and set up meeting rooms for organization-wide meetings and other meetings as needed (room configuration, A/V, presentation materials, etc.)
Prior experience working in an office setting
Passion and a proven track record of success in providing excellent, supportive customer service
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Ability to troubleshoot basic technology issues
Demonstrated ability to handle confidential information
Excited about and effective in working autonomously and within a cross-functional team
