We are seeking a capable, experienced and organized Administrative Assistant to join the Chemistry team of one of the finest University centers in the Cambridge area! This is a temporary position that could become permanent for the right candidate, and it starts immediately. To perform a variety of administrative and financial functions.
Will coordinate organic seminar program and special events, (e.g., travel arrangements, catering, audio/visual, visitor schedules, and classroom/dining reservations, coordinate reimbursements and payments to seminar visitors as appropriate)
Administer the Chemistry Outreach Program (maintain contact database, reach out to local high schools to generate interest, compile and maintain volunteer data and visit reports, process reimbursements, order supplies, answer inquiries)
Provide editorial support, including updating the Twitter feed, assist with coordinating the grant program, compile financial reports, special projects as needed
Maintain calendars, schedule appointments, and arrange logistics for meetings and seminars, plan and coordinate special events
Work with the finance team on preparing and submitting grant proposals, subawards, and grant closeouts
Review research and discretionary accounts, update budget and projection information, monitor spending, and provide feedback to faculty
Respond to inquiries, telephone calls, and visitors
Act as a resource for lab members regarding university-related issues (purchasing, vendor relations, policies and procedures)
Coordinate salary assignments, manage credit card charges, create journal vouchers and requests for payment, reconcile accounts, order supplies, and process change orders using B2P
Make travel arrangements and process expenses/reimbursements
Coordinate/track postdoctoral, graduate student, and visiting student appointments
Maintain group websites.
A minimum of three years’ related administrative/office experience
Bachelor’s degree preferred. Experience maintaining websites is strongly preferred.
Strong analytical, problem solving, editorial, time management, and organizational skills
Ability to prioritize and function efficiently despite frequent interruptions and under the pressure of deadlines
Excellent communication, interpersonal, and customer service skills, meticulous attention to detail
Strong computer skills (Excel, Word, Powerpoint, Wordpress, Dreamweaver)
Must be able to interact effectively with a diverse group of students, faculty, staff, and visitors
