One of our major clients, a prestigious Higher Education institute in Cambridge, MA is looking to hire an experienced Administrative Assistant to join one of their research departments on a part-time basis. An ideal candidate is someone who is a multi-tasker, professional and efficient communicator, and someone who enjoys a student-faculty environment.

Preparing, processing, and monitoring all financial activities such as assisting with budget preparation, monitoring and initiating reimbursements, procurement, and travel expense reconciliation for the Principal Investigator (PI) and research group
Coordinating scheduling and travel itineraries for the PI, Learning initiative, and collaborators
Coordinating and facilitating communications (in-person, virtual, telephone, etc.) and meetings with collaborators, both domestic and international
Coordinating and arranging meetings, workshops, conferences to include:
Logistics such as securing space, initiating and coordinating online conferencing, catering set up and breakdown, scheduling, support event activities and such;
Acting as the point person with information for group activities, travel, procurement, etc.
Collecting, editing, and preparing drafts of documentation for reports to funders and partners, and other writing tasks
Establishing and maintaining effective organization of administrative tasks for the research group;
Handling general office duties as needed and assigned.
High School education or equivalent;
A minimum of three years of office experience as an administrative assistant, or related experience
Ability to work collaboratively and effectively with a creative and diverse group of people
Attentive to details with accuracy, resourceful and flexible, an individual who is able to concurrently handle competing priorities with calm efficiency fast-paced, open-office environment
Exercises sound judgment with the ability to proactively anticipate needs, able to quickly and satisfactorily solve sensitive problems
Diligent, responsible, ready to work
Flexibility and an aptitude for handling a wide variety of duties

Ability to learn quickly and work with critical time demands
Strong organizational and customer service skills
