About Cradles to Crayons:
Cradles to Crayons (C2C) was founded in 2002, with the mission of providing children from birth through age 12, living in homeless or low-income situations, with the essential items they need to thrive - at home, at school and at play. C2C is at the cutting edge of volunteer management and has become the largest volunteer opportunity in the Boston area (where the organization is headquartered) providing unique, hands-on opportunities for people to help other people.
How Our Model Works: Cradles to Crayons collects new and nearly new children's items through grassroots community drives and corporate donations. Donations are then processed and packaged by volunteers, and are distributed to disadvantaged children through a collaborative network of social service agencies and school partners. C2C supplies these items free of charge by engaging and connecting communities that have with communities that need.
Cradles to Crayons meets a critical need as many children 12 years old and younger live in poverty stricken situations. Their living conditions can have negative effects on their self-esteem as poverty can lead to behavioral, social and emotional problems; their education as half of these children start 1st grade up to 2 years later than their peers; and their safety as they may live in more hazardous environments that can increase the risk of injury.
While meeting the immediate needs of low-income children, Cradles to Crayons also sets a foundation for lasting change by providing meaningful, tangible volunteer opportunities to thousands of individuals and families and hundreds of corporations each year by organizing clothing collections, hosting a fundraiser, or working in The Giving Factory warehouse.
Cradles to Crayons earned the highest possible rating from Charity Navigator for the sixth consecutive year. Only 4% of charities rated have received at least six consecutive 4-star evaluations, differentiating C2C from its peers and indicating that C2C outperforms most other charities in America.
The HR Business Partner provides market-based expertise and assistance for processes and procedures, and programs and initiatives related to HR and C2C team members. In conjunction with the VP of HR, the HR Business Partner ensures that applicants are properly sourced and recruited; team members are oriented, onboarded and off-boarded according to C2C established business practices and educated regarding policies, benefits and culture; and managers and employees are utilizing existing systems to manage performance and salary reviews, trainings and other HR functions.
The Senior HR Business Partner (SHRBP) is also the payroll administrator and HR technical expert for the organization. The SHRBP ensures that time and labor records are maintained properly and payroll is processed in a timely and accurate manner; supports the overall recruitment process; recruiting-related documents, benefits forms, performance reviews, onboarding/off-boarding templates and all other HR records are appropriately filed and maintained; and leaders, managers and team members are utilizing the HRIS system to maximize their capacity and efficiency. The SHRBP also provides ongoing training and technical assistance to all staff regarding all HR system related questions, processes and problems.
Finally, the HRBP provides recruiting support for assigned markets, doing resume, comp and phone screens; scheduling interviews; checking references and creating offer letters for potential hires.

Human Resources Guidance & Support: (40% of position)
·Serve as Payroll Administrator for the organization. Process bi-weekly payroll, add earnings, deductions and other exceptions, and prepare the preview for approval. Participate in payroll-related C2C audit prep and answer auditors’ questions related to payroll. Train new team members and managers on payroll system including time cards, time off requests and approvals, and other system functionality.
oModify Paycom Benefits Management module as needed for open enrollment purposes. Train managers and staff in the use of the Benefits Management module to enroll in and/or terminate from employee benefit plans.
oRun HRIS/Payroll-related reports for senior leadership as requested.
·Coordinate onboarding and orientation of new staff with hiring manager and representatives from C2C capacity building services (HR, IT, Finance & Accounting, Marketing) including review of cultural values, benefits eligibility, and performance goals setting system.
·Facilitate C2C’s mentoring program in assigned markets, insuring that all new staff as well as team members being promoting and/or transferring to new positions are paired with mentors to be successful in their new roles.
·Serve as benefits liaison with carriers and brokers to resolve claims for market-based team members. Work with VP of HRIS to survey staff re satisfaction with existing benefits and interest in potential new benefits. Coordinate re Paycom system’s usage to be sure benefits enrollments and terminations are processed in a timely manner. Manage team member leaves in accordance with state and federal laws; update individual information in Paycom system accordingly.
·Coordinate monthly Lunch ‘n Learn sessions and serve as Wellness liaison to this team, working to provide speakers on Wellness, Sustainability and Poverty on a quarterly basis for all staff.
·Manage the off-boarding process for terminating staff including exit interviews and coordination with representatives from C2C capacity building services (HR, IT, Finance & Accounting, Marketing).
·Manage all employee relations issues for assigned market including corrective action warnings, performance improvement plans (PIP), suspensions and/or terminations in accordance with C2C established policies and procedures.
Recruiting (40% of position)
·Manage applicant life cycle in collaboration with hiring manager. Coordinate sourcing, recruitment and hiring of new staff as required including job postings, resume and phone screening, interviewing, references, offers and hires.
·Move applicants for market-based positions through the Paycom ATS based on where their application is in the hiring process.
·Send comp screens (via email) to all applicants identified by VP to determine interest in position based on salary range.
·Schedule all phone, on-site and follow up interviews for applicants in assigned markets for C2C positions across the network. Insure that the rest of the HR team and the hiring managers are informed of these schedules and available to meet with applicants when scheduled. Introduce applicants to hiring managers once phone screened.
·Send out reference forms to references provided by applicant finalists. Follow up with phone calls to obtain reference checks, using Spencer Stuart techniques with references.
·Produce offer letters before sending them to applicants, copying VP of HR and hiring manager.
·Direct the efforts and relationships of employment agencies and search firms for both temporary and full-time positions as needed.
·Coordinate background, DMV checks, and federal employment verifications for all new hires in assigned markets.
·Coordinate all onboarding materials and accounts for hired candidates, including communicating important employment information during delivery of offers (i.e. Paycom account information, instructions on signed C2C policies & procedures prior to start date, and necessary documents for background checks and employment filings).
Administration (20% of position)
·Provide HR generalist support and functionality for assigned markets: Chicago and Philadelphia.
oManage HRIS to achieve total functionality with full implementation and use of all Paycom modules including but not limited to payroll, HRIS, time and labor management, ATS, LMS, position management (including comp and related functions), benefits administration, performance management, and expense management for markets supported. Train managers and team members in the use of the entire system, and insure system’s data integrity and currency.
oManage benefits administration process for markets through the Paycom system, insuring that C2C broker is alerted to new enrollees and sending termination notifications to broker on a timely basis. Ensure all benefits changes are processed in payroll.
oFacilitate annual performance appraisal and salary review process for markets by insuring that Paycom Performance Management module is set up appropriately well in advance of the annual process.
oSchedule performance review and goal setting trainings for all team members, and insure that reviews (manager, self and 360s) as well as goals (performance and professional) are uploaded to the system in a timely manner.
oInsure all team members performance and PDP goals are entered into the Paycom system by the established due date
oMaintain Position Management Module for assigned positions, adding new positions, updating position details, and creating position seats as appropriate
·Maintain and regularly update market-based HR filing system with all appropriate documents, converting existing paper-based files to e-files in the Paycom system wherever possible.
oEnsure that all market-based job descriptions are current and uploaded to Box and Paycom (in all modules).
oUpload all market-based team member photos to Paycom and insure these photos are used when creating organizational charts and related models.
oInsure that market-based onboarding checklists and mentoring agreements are uploaded to new team members’ Paycom folders within 30 days or their date of hire
oManage all market-based uploads to employee folders in Paycom
·Assist Senior HR Business Partner (HRBP) in the Workers Comp audit payroll prep process.
·Send regular market-based “birthday congratulations” emails to C2C team members on their birthdays, fostering better communication and comradery across the C2C network.
·Assist with the onboarding of all new team members and staff being promoted or transferring to new positions, including ordering:
oPictures uploads to C2C’s Organizational Charts in Paycom
oProduce up-to-date org charts with team member pictures (at least on a quarterly basis) in Paycom for Board and team member review, grants submission and financial accountability purposes.
·Coordinate C2C swag for new hires and existing staff in assigned markets including the inventory, storage, distribution, and ordering in conjunction with Marketing. In conjunction with Senior HRBP, maintain HR closet in neat and organized manner.
·Purchase the following according to C2C policy: Coordinate market- based “memorial and other donations” for organization by purchasing remembrances for birthdays, births, deaths and marriages as defined by C2C policy.
Participate as member of Polices & Procedures Initiative, drafting and providing input for policy development, taking minutes of all meetings, and providing administrative support to team as needed.

·Minimum of two years of HR or Recruiting and strong project management experience required.
·Exemplary organizational and project management skills, attention to detail, and ability to manage multiple projects simultaneously in a calm manner required.
·Strong written and verbal communication skills are critical.
·Technological expertise (including payroll/HRIS platforms, Word, Excel, PowerPoint and applicant tracking systems) required.
·BA degree in a related field and proven track-record of performance required.
