One of our major higher education clients in Cambridge, MA, is looking to bring on a Project Assistant who is organized, independent, and can communicate professionally. This Project Assistant would work on the administrative team supporting a department of about 100 people. The ideal candidate is eager to learn and grow with the role and to use this opportunity as a stepping stone into higher education, with aspirations to take on a variety of responsibilities. Preparing crucial department documents by gathering and distributing information and materials from internal and external stakeholders, tracking and ensuring progress, formatting a complex report
Planning and supporting departmental meetings and events, including three large annual events
Coordinating agendas for weekly meetings and tracking project progress
Drafting, preparing, and sending correspondence on behalf of the department and the Department Head
Performing some office management duties, such as processing expenses, reserving rooms, and directing visitors from the front desk
Maintaining multiple calendars and directories and updating the website
Bachelor’s degree preferred; 5 years of administrative experience required, including experience earned during studies
Highly organized and detail-oriented; able to independently manage multiple deadlines and keep others on track
Strong communication skills – in person, over the phone, and in writing
Ability to handle confidential information with sensitivity and good judgment
Ready to learn and able to grasp new concepts quickly and efficiently
Strong Microsoft Office skills, including Excel and Word; experience using Adobe Create Cloud and G Suite a plus
