One of our biggest clients, a prestigious University in Cambridge, MA, is looking to add a Senior Administrative Assistant to one of their busiest departments. The ideal Assistant will be someone who is very detail oriented, an excellent communicator, someone who has excellent written communication and can operate in a fast paced environment. They will be working and in constant communication with stakeholders, as well as individuals in all different type of roles, and be a coordinator among the Board of Directors.

Provides general administrative support to Executive Director of the department, and additional managerial level staff including drafting and preparing correspondence to alumni, volunteers and staff; filing, faxing and photocopying as needed.
Serves as administrative coordinator for Board of Directors and committee meetings and activities, including scheduling a highly matrixed set of meetings.
Manages production schedule and dissemination of meeting reading materials and presentations.
Edits and proofs Board-related communications, reports, and meeting minutes.
With the CEO and Executive Director, coordinates all venues for Board Meetings. Will travel to the venues to ensure successful meetings.
Troubleshoots technical issues with audiovisual technology related to meetings.
Provides logistical support for staff meetings and numerous committees: scheduling, preparing complex meeting materials and booklets, booking meeting locations, taking minutes, and ordering food as necessary.
Will do a lot of data entry; will update volunteer related web pages using Drupal; prepare budget projections and reconcile accounts
They may supervise other temps and/or student workers
High school diploma or equivalent required; Bachelor’s degree preferred.
Minimum 5 years of administrative or office experience required
Must be able to work in a team and service-oriented environment, with frequent interruptions
Must possess strong interpersonal, organizational, analytic and writing skills
Must be detail-oriented and able to handle diversified and confidential tasks concurrently in a fast-paced setting
Should be capable of working with minimal supervision: efficient, able to exercise judgment, take initiative, and able to set priorities
Strong customer service and communication skills essential
Database experience essential, as is proficiency with using a Windows environment
Familiarity with AdvanceWeb from Ellucian and iModules Encompass a plus.
