A growing real estate firm is looking to hire an administrative Assistant at their Newton, MA location. The position requires excellent organizational, communication and interpersonal skills and the ability to provide timely information and services to a wide range of both internal and external customers.

Answer, screen and direct incoming calls. Provide information to callers and relay messages.
Greet visitors as they arrive and announce them to the person with whom they are meeting.
Ensure that the reception desk and seating areas are neat and orderly.
Sort and distribute mail as soon as it arrives.
Sign for and deliver all express packages.
Call courier service for outgoing packages.
Arrange catered lunches.
Provide a wide range of office administration tasks such as copying, scanning, filing, preparing materials for meetings.
Coverage to the corporate administrative team as needed.
Manage Conference Room scheduling.
Bachelor’s degree; minimum 3.0 GPA.
Excellent written and verbal communications skills. An assessment will be administered for computer and communications skills.
Strong administrative skills with the ability to proactively keep projects on schedule.
A high level of organization, thorough attention to detail, and ability to multitask.
A team player with a client service attitude toward immediate team and company members.
Impeccable follow up skills and commitment to keeping staff informed of status of projects and completed tasks.
