One of our clients, a prestigious University, located in Cambridge, is looking for a Faculty Assistant on a long-term contract basis. The Faculty Assistant will focus on acting as a liaison for faculty members, staff and students and ensure a smooth flow of information. This is an open ended temporary position but does have potential of becoming permanent for the right candidate! The Faculty Assistant will be expected to provide support to the Dean and 2 faculty members and handle confidential information. The ideal candidate for this role is someone who is driven, organized, experienced, and ready to enhance their network and skillset.
Due to COVID-19 this role will be begin remote but must have the capabilities to eventually work on site in Cambridge, MA.
Responsibilities include, but are not limited to:
Providing direct administrative support to the Dean and 2 faculty members including calendar management, processing travel reimbursements, and screening e-mails
Managing the Dean’s daily schedule and the coordination of any meeting arrangements, when needed
Acting as initial point of contact and resource for visitors, as well as for telephone and email inquiries
Planning and coordinating events, including such duties as: serving as the primary contact for and assisting with vendors, drafting invitations and inviting attendees, taking notes when necessary
Providing support to the Dean for special projects when needed, and self-delegating various tasks; implementing appropriate strategy for special projects when needed
Coordinating travel arrangements
Organizing all mail and other important documents, attending to various administrative tasks in order of their priority
Skills and Qualifications:
3+ years of administrative experience; experience in a University setting STRONGLY preferred
Excellent interpersonal and communication skills, both written and verbal
Strong attention to detail, with a high level of organization and the ability to prioritize; great initiative with the ability to self-delegate
Proficient in Outlook, Access, Excel and Word, with an ability to learn new systems
Capable of working under pressure, multi-tasking, troubleshooting, and creative problem-solving
Ability to manage multiple simultaneous priorities, and meet deadlines in a collaborative working environment
Able to act as liaison for all levels of management, ensuring a smooth flow of events and information
